Minuets July 2010

New York July 2010

Members present were:  Howard, Joe, Coop, Judith, Dave, Rick, Dimples, and Tim. Charlotte, Ray, Billo, Tom, Virtual, Sonya and Geoff were present.

Excused absence: Steve, Chooie, Donnie, Lew, Lynn and Virtual

Guest were:  Superbeast, Debbie, Bev, Joanne, Henry, Susie, Decoka, Jeanie, matchstick

 

Susie from the host group provided us with some really great food.  Thank you Susie

 

Jeanie, Sandy and Coop represented the 39th Nat’s®, which will be held in OH.

No entry till Monday, there will be a staging area with water and elec. But you will not be able to get in until Monday morning.  They will put area Camping, motels in Cambridge (8 miles away) on their web page.

All the shopping is about 8 mile away in Cambridge.  The town is very small and there will be not problem with noise.

Free vanner’s night in.  They will have a soup line on Wednesday night instead of vanner’s night in and it will be free to all attendees. The building for Vanners night in has A/ C

There will be a flea market on Thursday.  This happens on the grounds every Thursday

And the vanners will be able to bring their thing to sell along with the regular vendors

Who will have things like fruits and vegetables etc?

The coordinates to the event are the coordinates of a geo cache at the front gate.

Bring your shade

Show will be held on Friday and Saturday.  Street classes get judged on Friday and Mild and Full classes on Saturday.  If someone feels they are eligible for best of they can come back or will be asked to come back on Saturday. They are doing it this way because a lot of people have expressed that with the show on Friday they don’t want to come on Friday night as they have missed the most important part of the event.

There will be free T-Shirts to the first 100 pre-reg.

There is plenty of water and electric.  (About every 75 feet) There are buildings but you cannot park in them.  There are several large hills and they will possibility have a worlds largest slip and slide.

The ads on the flyer paid for most of the flyer printing costs.

They have a lot of contacts for goodie bags and Desperado will help them do this.

There are several clubs helping them do games, security etc.

Jeanie, they have no questions for us at this time

 

Joanne came to the meeting from these years’ hosts.  They had not questions and we left them know it was a good decision to let people in early on Wed.  With the heat is not a good idea to let the people sit outside with now water or electric.  So far everything is going well.

 

Wacko:  How to replace a rep or Alternate who is not performing up to expiation even when they do come to the meetings.  Tabled until February. Write up what you want to say about replacing people

 

 

Packages were handed out with all the candidates for the Boards resumes.  Be prepared to vote in February.  At the trophy presentation we will introduce all the candidates and explain how to be come a candidate.

Woodstock will be replaced if he does not show up this weekend.  He has not been to a meeting since C of C in Vegas

 

Coop:  Do we really need 9 alternates?  In the beginning it was to back one of us up.  Now it is just like with have 18 opinions and it is getting out of hand. 

Dave feels that we need all 18 because some day to we will have to have all the people to host the event,

18 people mean 18 different opinions.

Joe feels that is it good to have a reserve of good people who are willing to help.

Howard feels more people on board means more “Public Coverage”

Coop the last time we saw Woodstock he wanted to have 18 full members!  Too many cooks in the Kitchen and it are counter productive!

Superbeast, there is misconceptions and we need all the people out there letting the vanning public know what we do.

Even with 18 we get more done.  We will leave things as they are for now.

 

Desperado:  Survey taken in Pa.  He handed out 400 and got 100 back.  Some people though it was about Last years Nat’s® and not about Nat’s® in general. 

What do you like best about the Nat’s®?  Socializing, meeting friends, and show and shine were the top answers

Do you feel Motor homes should be allowed into the Nat’s®?  6 yes, 4 if they are pulled in by a van and the rest no.  This tables that discussion for another few years.

They liked the idea of the seminars.  They can learn things and have fun.

They liked the evening dance for the teens.

Date and Day changes for Nat’s®.  Most said they would come no matter when it was.

Reasons for missing:  Lack of vacation, travel time and money

Wanted more water games when possible

               The idea for keeping it in the same place with the same hosts.  Most like to have it move around to see new places and have different things going on.  Some feel bin there done that and don’t want to go back. 

Dave mentioned that if established events changed dates and location attendance dropped off.

Tim said let try to keep the currant format as long as possible.

Matchstick agreed with Dave and said that the Street Rod Nationals stay in the same place every year and don’t loose attendance.

Blue grass moved and attendance went up.

The Host Club has a good deal to do with people returning.  If they have a good event and treat people well they will come no matter where it is.

We would have to research which sites get the best numbers/bang for the buck, etc.

Historically Terry Cooke originally the charter stated the Nat’s® should move around.  Fred wanted to get it to happen at one central location like Colorado because it was the geographic center of the country. 

We decided to let it like it is for now.

 

Nat’s board patches and pins.

The patches are for you to hand out to people who have done a lot for the Nationals Board.  The do not go to just anyone.  We will have more in February.  We had a problem printing them.

Coop presented Matchstick with one of the patches

Pins were to be handed out to everyone we wanted them to go to.  After this event we will start to do that.  Right now we are asking for a donation for Wacko.

 

 

On Friday night we will have a meet and great.  We will do it with Vannin.com who will have Hot Dogs.  We will have the Wacko beer that Dave has donated.  We will have the really nice Key Fobs ($5.00 donation will be requested for Wacko’s sons education) that Cathy, Dennis and Denny Smith have donated.  We will also have the Wacko patches for a $5.00 donation.  We will have memory books for people to sign for both Wacko and Lynn.

When the patches are all sold we should have $730. we hope with the additional donations we will have $1000.00 for Paul’s education fund.

 

Judith – Idea of some kind of a fund for condolence gesture for Board Members and their partners.

Discussion:  Tim outside people would wonder if the idea is that we are using Nat’s® money we have raised for this.

Dimples, if in a club you would just do it, there would be no discussion

Howard¸ Part of the overall service we do – advertising, scholarship fund etc.

Coop, if any one out three complains about this they are not a vanner

Motion by Howard to donated $100.00 to a cause for anyone who is a member or his or her partner who dies.  Second by Coop.  Passed.

Tim made a motion that we make a collection from all the members and use that as a separated donation.  Desperado seconded the motion.  This also passed.  Tim will collect the money.

 

Die cut.  Matchstick had the Die made and he will keep it so we can use it forever. 

Dimples made a motion that we continue to sponsor a spot on the sticker.  Howard seconded, this passed.  We will sponsor the spot for next year.  Performance may continue to do the other spot.

Coop presented Matchstick with a Board patch for all his help with the die cut.

 

Lynn needs copies of out logo.  National Truck-in®, Nations Premier Van event®, National Truck-in Board®.  It is time to renew and he needs the samples to send in with the renewal.

Joe is still working on the Best of Show winner’s trophy Matchstick will get back to it and we will have it for next year

Joe had an issue on Tuesday with the amount of trailers being delivered by pick-up to the event.  He has apologized for how he presented it.  He still has concerns that the Nat’s form is being used to register these people that were not in vans. It seams like a conflict of interest to him. 

Dave, in the past the warm up was separate event with it’s own flyer.

Howard.  Points out that it is good to be separate since maybe an issue like an injury that

happened outside of our official start of the event would be listed as ours and we would be thought to be responsible as they were using the same flyer.

Coop, had discussion recently about vehicles at the gate not being a van.

Joe, NO continuity this year, gate people could not give an answer or a consistent one.

Coop, Still trying to keep Nat’s purity for a least the event portion, yes, there is money advantage to allowing the people who no longer have a van to drop off their trailers and take the non van out of the event area

Much discussion followed around the idea of it being yet another way for people to test drive vanning at the Nat’s level, some times geographic customs dictate on what happens in a given area.

Joe circled back and Tim made a motion that we add in the book and contract that a pre event clause stating that there is a separate release form for the pre event.    Passed.

 

Guidebook is there for a continuity of vendors and suppliers of things like patches, dash plaques. 

This lately has been all over the place as for as quality and style.  Should be more consistent.

In guidebook we have to put what the logo need to be on and have what the logo has to fit in.

This years dash plaque does not have the ® Dimples apologized for that.  He had to pitch in and get his trophy guy to do them and did not know until he picked them up that it had been left off.

This led to a discussion on things that need to be changed in the guidebook. 

Tim will work on the book with Coop and Howard and get thing cleaned up and reviewed.

They will have a revised copy to be reviewed at c of c.

When redoing the book we can have a section with details and sample of how things are to be done. 

Joe wanted to know if we could take over doing the plaques?

Discussion:  The book has the details already but it is open for interpretation.  If they don’t read the contract …  then your toast.

Ideas: add to book a life size example of what all needs to be done and exactly how for each item. 

Send a copy of updated guidebook to Joann and resent host to look over it.

 

VanJocky.com wants pictures of vans.

50th anniversary of Ford Van Production.  Have invited all ford owners to be there at Avon Lake Oh for a big presentation.  There are over 110 members of Facebook page dedicated to the Ford Show already.  Doug and Howard will have more info later

 

Doug, Bob Ryder has contacted and asked Doug to cover the Nat for the magazine this time.  They had it on the Internet only last year.  Maybe we can have bob at Nat’s next year.

 

Coop thanked this year’s host for all their work and how well it is all going.

Superbeast, got a call from a marketing company for a secrete meeting no cell phones etc about a possible new full size van. 

 

Dave made a motion and Judith seconded that the meeting be adjourned.  Passed.
