Tim motioned that we only read the part of
minutes from last meeting regarding burnouts.
Discussion by Tim: as Nats board we need to
focus on the overall event and facilities, including the show and shine, bright
n shine – we should not be involved with any other events or activities. this
would release the Nats board from being libel for the activities outside of the
list of Nats board related items
Dave – do not think we can not separate the
Nats board as we are associated with the name on the event. We have the power
to limit what is sanctioned at the event under our name.
Tim – reasonable person clause – person on
jury that states
A: they should have been more involved with
all aspects of the nats event
Or B: that the Nats board is not involved
with or sanction that activity.
Lew mentioned the person thrown out of the
van on the way to the burn out.
Dave mentions that if you are in court at
that point we would be broke anyway
Coop mentioned that regional rules would
have an effect.
Judith summary – we should put things in
the how to book that we recommend not doing a burn out contest and that we do
not condone or participate with it.
Frank mentioned the idea of having person readout
and signs a waiver stating personal and property.
Ray – what if someone touring the grounds
does a burnout and hurts someone or something – who is responsible – the driver
so how is that different.
Dave – relatively easy way to resolve – make
sure the insurance is in place and properly documented which would most likely
stop the future events from happening.
Joe ______ – Joe sued Goodrich for a
defective tire – there was rust on the belts thus a defect and they settled out
of court so that matter is settled.
Tim – review of round table discussion,
which included that they would have to show, and use used tires, NOT their
street tires.
Don – do we have to reopen their contract?
Nope already signed off.
Howard and Tim will build some verbiage on
the going forward recommendations.
Tim also reminded everyone that the emails
done through the Nats board list can be subpoenaed in a court of law so pay
attention when Judith or Tim respond with a “this should be discussed offline”
– please oblige!
In the old days you could tag your event on
to a ground’s insurance, not anymore in this day and age of suing everyone
Tim – reiterated that all conversation by
email can be brought into court.
Astros’ topic of how you deal with a person that should be banned.
Tim – this is not a truckin board issue –
this should be the hosts that regulate who attend or not based on many possible
factors.
Judith – next was discussion on logos and
trademarks. – Samples passed around.
Tim – we have trademark “National truckin”
but when we reregister, we supply a list of variants that have been used and
reasonably associated.
In Dave’s cruise sticker permission was
asked and answered as ok
As Donnie’s group gets to hold the logo for
the next year but we are still authorizing etc.
Joe – had someone show up with stickers
about what ever but had 42nd Nationals across the bottom of it.
Pointed out that they could not be sold with that on it. General concept is
that we are not aggressive enough with deterring it~!

Coop – Nominate Joe as trademark monitor.
Astro pointed out that would make Joe the
bad guy and taking a personal vendetta.
We have to be very careful and make sure our
legal butts are covered.
AND even when the hosts for that year “can
use it”
Cathy – mentioned we should draft up a cease-and-desist
order letter.
Coop – we should get some research done to
find out how and get the info in place for Joe. Pat’s wife Elaine wife is a
trademark police – Dave has discussed with her and she is willing to help.
When the letter is created it will get
added to the how to book
Judith – anyone heard from anyone
interested in doing the 44th – crickets all around – we need to start
talking it up an checking the streets!!
Discussion about Poppy Mountain ensued –
still keeping the site in mind and reviewing.
Donnie mentioned another place – (did not

Astro – get the Canadians to do an event in
Maine!?!
Florida – if they could find grounds, they
would put it in.
Cindy Lou in Colorado would be a fantastic
thing to go for and we would all pitching in big time to help.
Judith mentioned something coming from the
Kansas with Buffalo Bill?
Astro – social media and PR – there seems
to be a lack of communication to get it all out there to the attendees.
Joe and Coop did a fair bit of info sharing
last year.
Charlotte – been with a few Nats hosts and
finds Darren has been great about getting the info out there – we should be
good with next year’s hosts.
None of us were monitoring the info flow
this time around.
Dave – Nats did not get started until last
Sept due to issue the revoking of the contract at that time.
SO new host were behind the eight ball and
behind schedule, the co-hosts were not able to communicate between themselves
let alone the web world.
They are aware of this and the weakness in
what has gone on, but they have done a great job of covering the info angle.
Lew – who is the contact phone number going
to for next year – Donny and Darren.
Don mentioned you can sponsor a whole class
for $100.
Tim – was there verbiage that should be
added regarding info and social media.
Astro – we should put something of a
recommendation forward listing social media options.
The national truckin board advises that
future hosts have someone monitor and keep the info current as it is posted on
the web.
Melissa – offered her assistance for the
Twitter, facebook blogging aspect for things.
Don asked if she would be willing to help
them next year – she replied yes.
He also mentioned he won 2 levels of the
readers ride and got a lot of support from all of us Vanners. But they did
change the rules or methods so the next couple of vans got blown away.
Marcel and Leo at Cool rides are contacts
that Don will be following up with them because the whole voting process got
changed and became an issue.
Astro – we have been advertising the Nats
and CofC events on Vanning.com for a few years but Melissa helping / monitoring
the info with what the Host need to post would be appreciated.

Don, Darren, Cathy, and Charlotte to
present.
Discussed the flyer.
Met with fair board, everything signed and
paid so all good and on track.
Trophies next year- 3 colours one for each
place and the trophy builder donating the best of show.
Will have the square for taking payments at
gate.
There will be wifi onsite for next year.
Grounds – they have added multiple water
and power – additional 250 power outlets.
Have a new area for RV parking outside of
the main event area.
You can sponsor 1 class, all three places
for $100.
A best of is $50.
Staying with the current pricing for
trailers to keep everyone coming.
Don showed goodie bag and the ads on the
back of the flyer will be on the back of the bag.
Members can pickup up flyers and cards at
their booth tomorrow; unfortunately, they did not get into this year’s goodie
bags
They can take credit card payment but must
add $3 service charge.
They are doing key raffle 1100 keys, 3 open
a lock box – they will have 3 free pre regs.

Twins are in the host group so someone else
will be getting the first pre-entry.

They are not doing full size NUTS bus so
they will be doing limo golf carts (4 of them) they will also rent personal carts

In 2008 they were told that insurance
company and they were alright with them doing a waiver, proof of insurance and
no street tires, they will supply tires to use and burn off.

no passengers and sober!
Also think of doing it earlier in the day so less chance of drinking happening.
Henry and the twins doing the trash – will
supply trailer that then fills dumpster bin.
