National Truckin Boardâ

Roll call:  Howard, Charlotte, Joe, Coop, Judith, Wacko, Ma, and Dave were present at the meeting the morning meeting.

Evening meeting:  Cinnamon, Donnie, 

 

Dispense with the reading of the Min

 

Ma officially passed the torch to Wacko by handing out Cheese and Cracker to go with his whine.

 

Introduce applicants to the board who are present.  Chooie, Tim and Mountain, Gomer, Sonya

 

Treasures report: accepted .  we have a check for $300. For advertising and $500.00 for the band for to PA.  These will be given to PA tonight

 

Dave made a motion to keep Lynn as treasure all were in favor.  We will have Lynn send 3 check to Judith to be used as needed at C of C or Nat’s.  Judith will inform Lynn of ASAP when one of these check are used

 

Ad committee: the ad committee no longer exists

 

Fundraisers:  Some suggestions that were made were massages tonight, charge to do van judging if the host group does not provide the manpower, and bitch booth at Nat in PA plastic card as Nat’s credit card.  It was decided that we would do the massage’s tonight and a bitch booth at Nat’s.  Joe will take care of getting a credit card look alike with our logo on it to be given at the bitch booth.

 

 

Replacing the board members who were not here in July or January.   We will send a letter to Rick and Dennis informing them that they will be replaced in July.  The letter will be sent certified.  A question was brought up about a member of the board must be from Rocky Mountain vans and this has been dropped long ago.

 

 

Requesting that Geoff get a complimentary entry to the Nat’s do to all his hard work on the Judging committee: We voted to pay for Geoff entry to Nationals when the host club gets the bid, Geoff’s name will be added to our list as Webmaster technical support

 

 

Update the web page.  Move from Rogers to Van domain or some address that we will maintain.  As. WWW.Natsboard.vandomain.org.?    Other locations will also be considered.  This will appear on the Nat’s flyer when the person goes to our sight it will link them to the current National’s host site and other sits pertaining to vanning.

 We will Go over the How to book and updating it to a seminar format, which would be conducted at C of C., and  will make this a requirement for hosting the Nationals. (Kathy Smith)  We will request the c of c board put us on the agenda.   Items to be added is how to approach the town as to what can be expected to happen and getting the town to support the event.  The host group should help all the vendors by finding out about state, local requirements for vending. Especially for the Food vendors as the County  & state rules change.  Suggest lowering the vendor fees to get more vendors.  Walk-ins except at show and shine are not welcome at the event.  Walk-ins will not be allowed to enter the main event area at any time without supervision.

 

Michigan Nationals:  Boski and Young Fool represented Michigan.  Young Fool, handed out the treasures report to all the members, made the December issue of Truckin Magazine; Boski thanked us for our help.  They made $157.50 but more bills have come in.  Walk Ins, Most of the Trophy plates are handed our and Boski will make sure the plates will be all handed out. 

 

It has been suggested that Permanent numbers be issued for show and shine.   We will also have a standardized judging sheets if this is not used we must see the proposed sheet  six months prior to the event for approval.  We will be changing the language on the classes to year breaks instead of early, mid, late etc

 

Van of the decade:  Paul:  The board will pick a van who has never been shown at a Nationals as the boards choice, We will provide the trophy and call the award the Pat Turk memorial trophy.  Coop will make the trophy.

 

Joe brought a picture of a trophy that he has been working on.  It will have a plaque to represent all the best of show winning Vans since the first Nationals and will have enough spots for 50 plaques.  We will include the winners of the Non Nat’s on a different color plaque.  Coop will get the brass and silver stock and get it to Chooie to cut and back to Coop to engrave.

 

Joe has contacted Pat Doolan who puts together the flyer for the Super Summer van run.  Pat has agreed to put together the National’s flyers in the same manner.  We want to set  a standard with a flyer.  Tim will give us the specs and it will into the contract. As item 3, Coop will still inspect the flyer.  Input by the host will be coupled with full color pictures of vans.  We will have a link to our web page, which will link to the current host web page etc.

Item #3 - Nation Truck-In Flier Specifications

 

 

The Nation Truck-In flier should be a finished size of 11”x 17” and be “full” color using process color lithographic printing on glossy stock paper. The National Trucking Board has contracted a dedicated designer that will provide pre-press ready files for the chosen printer.  Fliers will be printed and delivered with the costs covered by the winning host group.  When submitting items for the National Truck-In flier please consider the following:  Photos are must be high quality color and must be able to be reproduced at 300dpi resolution.  Line art must be no less than 800dpi resolution.  Images recommended are high quality show vans, family oriented camping and tasteful images that represent the theme (if any).  All images must be copy right free or proof of ownership provided.  A form will be provided to assist the winning host group to gather information so that vital information will not be missed and to create a uniform look.

 

 

 

Joe brought a handout card to be used to encourage vanning.  Each van council will be given a master and 25.  We will reimburse Joe the $13.96 in expenses he incurred to print the card.

 

There will be two reps Rob and Dave doing the film here tonight who will be working on a film about vanning.  We will sponsor this film with right to see the film before public display they are looking to do a two-hour documentary on vanning for Sundance   about the vanner as well as the van.  There will be plenty of notifications to the public about the filming.

 

Golf carts:  no lights, drinking, We voted to put the following on the contract in ITEM 17 -  ALL golf carts whether host or personal must have a headlight.  This headlight may be a high power flashlight attached to the cart and the light must be on after dark.  Carts must be operated in responsible manner.   If the cart is not driven responsibly the keys will be confiscated.

 

 

Power tour:  June 4th Milwaukee WI, June 5th Springfield, IL, June 6th Indianapolis, In.  June 7th Nashville, TN, June 8th Birmingham AL, June 9,Tallahassee,  FL June 10 Kissimmee, FL   $35.00 per day $65.00 for long haul.  If you do long haul you get to park with the vans. 

 

PA Nationals:  John, Kevin and Jim presented what is coming up.  Pre, regs.  164 as of Sunday.  There is an ad in a magazine called Drive two cruise mag’s   Vendor is $175.00  $200.00 food is $225. And $275.00.  Working on Porta Johns, Swap meet and event.  Friday and Saturday between 1 and 5 PM bring your own table and register on the web site.  Ma and Dave, make sure your local people are aware of the influx of the vanners so they are ready for us.  Porters in the bathrooms, mixed feelings, we are not tipping them enough. Does not look good for a beer garden.  No drags.  No scooters trout stream you must have a license.  $45. Plus $9.  Kids can fish free.

Rent your own porta john $100.00   If MI can come up with some money they will make a contribution to PA.

Bid for 2006:  Pam Myers southeast VA van council and VP Lou they could possibly have a carnival.  Dates 19th to 23rd.  No warm up party.  All paved roads, put in new water and electric.  Porta showers on a trailer and johns how may people in the group.  5 now and access to 50 more to host.   Flyers

 

No carnival. Enough people, Collect the names and what suggest that they find more help. First Aid.  Who would be Pan’s backup if she were unable to perform? Lewis Greger Chairman of Van alliance of Long Island for 7 years. Richard Stuks and Denise from Capital City, Eastern Van Nat’s and Vandamoniaum,  Gordon Dugan 30yrs experience.  All in one Capital City.  Pam will get us a list of the participants and how long they have been vanning and what have they helped host.

After discussing the health of Pam’s husband we decided that she is a strong enough person to take what comes and not let it effect her management of the National Truck-in We feel she would not take this on unless she had covered her bases.  Charlotte and I will sign the contract.

 

All those Nat’s board members who are at the Nationals on Monday will go to New York to look at the Grenwich to be a possible sight for us to host a Nationals.  We discussed ways to raise money, Sell a limited number of Raffle tickets. Chamber of Commerce may help with a financial.
