National Truck-in® meeting July 2016


Roll Call: Tim, Dave D, Dave Astro, Howard, Donnie, Art, Sonya, Geoff, Ray, Henry, Melissa, Lew, Phil (at end), Charlotte, Coop, Chooie, Tom, Cathy, and Dimples after we adjourned.

Treasurer's report: copies were handed out.

Van-ups did not show up. So, we reaffirmed our stand that they are not a van and cannot attend the Nationals Dennis and Chooie. Safety what do you have in your van?

Fire extinguisher with access and up to date are a must. Chooie will send out a list of the safety items we should be caring, and we will send it out.

We discussed have a Safety check at Nationals. Chooie and Dennis Smith will coordinate this event. We will make a sticker for those who pass. We will also collect old Fire extinguishers and have a how to use a fire extinguisher demo. Also try to get the local Fire Department to come out and do a demo.

Reminder cards dedicate to Chris Carson. Ask Granger fire extinguisher sponsor or Sintex.

Tim safety inspection and those certified should be done at classification. a drawing for a fire extinguisher could be held to encourage people to participate.

There was a motion that pass unanimously to hold the safety inspection.

Charlotte New vanners should be encouraged to check out Back road vanners video is on Utube we need to watch Howard would like to see the board sponsor best engine In Chis Karson name. It passed unanimously.

Dave D and the New England Van Council are looking at a site it Fryberg ME the grounds has about 4000 water and elec. Rent only the camping area

Perception: When you as a Nat's Board member do something not quite right it is a reflection on the rest of the board. We have all on occasion done something that we may have thought better of later. We need to be more aware of how what we do reflects on the Board and the Nationals as a whole.

New vanners should be encouraged to check out Back road vanners video. we need to watch.

Florida has about 300 vans and everything is going well. We are all happy you came and hope you have a great time while you are here in FL.

Coop the 45th is coming together they are working with the two other events in the area to help each other out. They are going to do a 4-part plate and refer to it as the Trifecta of vanning.

Land o lake tourism and Polk County were a huge help to us here in FL we recommend you check out your local tourism to see how they can help with sponsors and donations.

The proposed grounds are Jasper County.

Well Howard got back with me on grounds that sound good. It has been seen by Howard, Tim, Geoff, Sonya, Coop, Chooie and I think Don.

It is in Rensselaer In. it is the Jasper County Fairgrounds. (Mid-West used the grounds for their event last year) The only bad thing is it is only available the last full week of July which would be the 22-

29. Exit 215 off interstate 65

So here is the scoop on the grounds.

Cost $10,000. Including electric, water, and all buildings Possibly garbage. This would be from noon on Sunday till noon on the following Sunday.

In the back area of the grounds there is shade water and electric for about 300-350 vans. the balance would be in the front section of the grounds.

There are showers and flush toilets thought the grounds.

There is a pole barn which is about 30 by 200 which would be good for the bands. it has a dirt floor.

there is a building that could be used for those vendors who want a building it is adjacent to where the outside vendors would be located.

We would probably have to rent. there is 30 and 50 amp electric.

Mid-West has already established Ice (22# bag is $4.00), golf carts ($240,) and porta John ($120.) rentals in the area.

The grounds are about 60 miles south of 1-80 on I 65 and about 40 miles north of Lafayette there is a winery at the next exit south.

The fair board meets the week we are at c of c and thy will contact us before our meeting on Friday to confirm all the above

I did not mention that all hookups are 30 or 50 amp, and there is additional power boxed in the front grassy area also. People can camp anywhere on the grounds. If you go to google maps, there us a great satellite view you can clearly see the huge pavilion and the size of the place. At the bottom of the screen, you will see a house. It belongs to a guy that works at the grounds. No problem at all. There is a small airport just to the north, east is cornfields, and west is woods. Any questions, email me, or call!

As far as jobs, since my club has all the contacts for infrastructure, I'll be glad to arrange golf carts, ice, porta johns we probably need (12) a stage, and production (sound and lights) if we decide that's in the budget.

I also would like to handle the entertainment, again, local, and I have a little experience! Thinking cheap acoustic Wed, Better band Thurs, headliner Friday, decent band Saturday. One classic rock, one harder rock, one southern or country. We have a lot to choose from depending on budget.
