Minutes of the National Truckin Board® in Feb 2010

 

Roll Call and Roster Updates:  All but Ray, Woodstock, Rick, and Lew were in attendance.  Also, Kathy Smith and Gary Shoulders who have submitted resumes were in attendance.  Others in attendance were Brad Phillips from Wheels of Confusion, Rick Duval, Dennis Smith Jr. Stan & George Stuffelven of Vanatics, Dick Crawford and Henry from NJ.  Brad and Henry have indicated that they wish to put in resumes.

 

Min of July meeting:  A motion was made by Howard, seconded by Tim to dispense with reading.

 

Treasurers Report:

 

 Steve:  Concerning the vehicles let into the Nat's® and shown at the Nat’s®. This comes from vanners that he has talked to over the past years and I would like to present an idea to see if it would work. Have two lists one that is eligible to attend and another list that is eligible to show.

Response:

We have addressed this many times and we do not want to change things at this time.  Asked for a show of hands and all agreed not to change this.  There is a new list of what is what in vans on the web page.

 

Steve also presented the idea for the Nat’s Board® to create 2 new awards.

1. Given to a vanner who has contributed his, or her, time in an effort for the benefit of vanning. These efforts should have an impact that includes vanners nationally if not internationally.

In particularly here for this past year I am talking about Boot Leonard and what he did with the Ford Van from the bad situation with big Jim, all the money that was lost from vanners donations and how he turned it all around for the benefit of all vanners including vannin.com. This is kind of what I mean for that capacity of an award. 

2. An award given to any vanner that has been recognized by their community for their individual efforts to help people, charities, and worthy causes. These vanner’s names can be turned in by anyone but need to be verified by the community.

 

Opinions:

Tim:  We should stay with our current duties of the Nat’s® show and not try to take on more.  There are others working on this kind of awards currently.  We should let this to them.

Dave:  Most clubs in the East do this already and we do not want to be redundant. 

Billo:  Let C of C handle this type of thing.

Charlotte:  This would take too much time and expense

Geoff:  Nets Board is for the Nets event; we may want to have a separate committee that help with a hall of fame.

Judith:  We already take up way to much time at awards as it is.  We are spread too thin to do something like this.  There is a group of people including Virtual, Goats Son and a few others who are working on this.

It was felt by most that this should not be something we should take on.  A group or Council or perhaps a Nationals® host should do it.

We voted not to do this.

If this had passes Steve would will have an award ready to go from the Nat’s Board®. Since it didn’t, he may give it as an awards from MASVA. 

 

From Coop.

Coop talked about our Incorporation.  When we were incorporated all the reps at the time chipped in $50.00 and own a portion of the corporation.  He feels that all full Reps, not alternates should pay for a share of the corporation.  If you leave you would get your $50.00 back and the person who is elected to your position would pay the $50.00 to the corporation

Joe:  Original contract only has the original Board members names.  At the time Judith, Lynn, Howard, and Coop were the officers.

Tim:  Regulations have softened over the years, now you just have to have four officers and $50.00.

Coop:  We could do up stock certificates

Tim:  Thinking we are already doing enough and are active for fund raising.

Coop:  not for raising money, just to be something on the line at a personal level.

Wacko made a motion that the 9 board members should have a $50.00 vested interest in being a board member.

A vote of the 8 members present was taken, and all agreed.  Dave, Don, and Wacko will pay the $50.  We will send a check to Rascal and Lynn.  No one has any info on Rick.  We will send it to Rick upon receiving address info.

The nine board members pay the $50 and the alternates get 8 in passes.

 

Wacko:  What do you think about having a pin to hand out?  We could give them to people who were doing good things for vanning and to just introduce ourselves. A Motion was made by Coop and seconded by Tim.  A vote was taken, and all were in favor.  Wacko will have the pins made and they will be ready to hand out at the Nat’s®.   We will have a meet and great and hand them out on Friday night.

 

Judith:  What about silk-screening our own patch to be given only to those who help us or do a lot for vanning.  Not to be sold.  Voted and passed by all.  Coop and Judith will do these and have ready for Nat’s.

I helped to preserve The Van Nationals® will be on the patch with our logo,

 

Howard:  I invited Dave Astro, Webmaster of Vannin.com to come and talk about our spot on the forums.  He is broadcasting our public meetings on the page at this time and will be doing the Saturday meeting.  He will stream the seminars as well.  There was good response on the web and hopefully he can come and do this the next time.

 

If you are having trouble getting into the spot, he has set up for our exclusive use on Vannin.com he will be here to help you.

 

Steve made a motion we donate $50 per year to vannin.com.  A vote was taken and approved.  I gave Astro the check for $50.00

 

Tim:  Thanked Donnie and the others who put their vans in the World of Wheels and Virtual for organizing it.  Per Donnie there was a lot of action around the vans and people were interested to see vanning is till alive.  Donnie’s club handed out a stimulus gift to all first-time comers to their event.  They will get in free.  Howard showed the banner that is used at the Shows.  We were a sponsor, and our logo is on the banner.

 

Howard:  Show cards, a check box should be put on the Class Card to be checked if you are eligible for the Flying Eagle, also to show your are classified and judged.  This has been done.

 

We talk about the show class cards and keeping them correct and current.  We will be more vigilant at the show.  Part of the judge’s job should be to make sure the van is in the right class.

 

Billo:  We need to put the Bright and Shine show sheet on the web site.  Especially now that we have changed the format of the show.

 

Howard: Do we have a database of certified judges?  Yes, Judith has it on her computer.  We will ad a state or club to the list of names.  Judith reminded us that just because we have a list of certified judges doe does not mean that the host of a Nationals® does not need to get their own judges.  Most of the people do not want to judge every year.  The list is for back up to what the hosts get.

 

We will talk about the Vanners helping Vanners list at meeting on Saturday. (Forms were handed out at the meeting and we got about 10 more).  Astro will make a link to it on Vannin.com so people can print it out.  It is printable from our web page as well.

 

Coop:  I would like to add to the contract… The National TruckinÒ logo. Artwork finished and camera ready, to be supplied each year by us to the host club. Coop will do the Logo and they must use it.  Within 30 days after the signing of the contract Coop will send the host the logo.    A Motion was made Tim and Donnie second.  Passed.

 

Final artwork for the flyer must be in to Coop by May 1 of the proceeding year, and he will pass it to us.  He will have it back to the Host by back to the host by May 15th.   Joe wants to see the art work before it is approved.  Judith asked that Coop send a copy to each of use via our gmail account so we can all see it.  Per the contract all artwork used must be approved before it can be sold.  It must be to us by May 15 of the year of the Nats®.   If it is not approved it cannot be sold.

 

Tim: On our g-mail forwarding account.   Please use that when you are sending us something. If you have a question or something for all of us please the address..  Please keep you e-mail address up to date

The account must be checked at least once a month.  Tim wants someone to be a backup. Billo will do this.   It was suggested that we put these addresses on the web page for all to use.  It was decided to keep them for us to use.

 

Tim made a motion that we put “What is a van”.  The list will be posted under the resources section on our web page.  The address is http://www.vannationalsboard.org/ 

 

Do a raffle.   It was felt that we did not need the money now and that we should take a year off and start to sell tickets at the Council of Councils meeting in and give the money away at the 2011 Nationals®.  Dave will make the tickets and have them ready for 2011

 

At 2010 Nat’s® we will have a Meet and Great on Friday night and hand out pins or about 250 items to be donated by Kathy and Dennis Smith Jr. of Rt. 66 Rides 

Wacko:  Part of the discussion on the Vannin.com chat was the perhaps Courtney is not the best rep due to her not being a teen anymore.  Maybe we have a few other names such as Dakota from Performance.  Wants to be part of the Courtney kids’ things. The consensus is that the more the merrier and better feedback base to draw on.   It was suggested that there could be a Wii Olympics for kids.

We are here to advise the host and will pass that on to them.

Old Business

The Die Cut for the Nat’s® sticker.  The $300.00 was allotted; it is now costing us only $130.00 for a 4-up die.  It will be about $180 for 500 stickers.  Coop will adjust the NY sticker so that they can use the die. There are two spaces to sell.  This is another way for the Host to make money. These will be Better stickers.  Joe will no longer sell the stickers as he has been doing since some hosts have not had the stickers. 

Joe the Trophy plates for best of Show trophy that he is making, will have be ready for this year’s Nationals.

Ray’s survey:  We read it and I will give you a written report later.  I did not have room to bring it back with me.  Sorry I should have brought the cover page but I forgot to pull it out.  I’ll have it to you by the end of March when Coop brings it to me.  We will put it on Vannin.com and on our page.

I do remember that the top two answers to why vanner’s come to the Nat’s is the Van Show and to see old friends.

 

Friday nights meeting.

We met with Van N Y hosts.  Represented by Joanne and Joe.  We mentioned the stickers and that there is an opportunity to sell ad space on the stickers.  Performance vans of PA and the Nat® board bought the two ad spaces.  This represents a 100% sponsorship for the first 500 printed from the new die.

We discussed the T-shirt vendor situation and they told us that Kim would not be doing the t-shirts.

Mike McMaster will be providing the shirts for the 2010 NetsÒ and we will be able to preorder your shirts.  Preview what you are going to order on Web.  These will be available and waiting for you at the Nat’s.  You will also be able to get your shirt done at the Nets®.  Mike has been used in the past in NY and should be good.  We were relieved that they were not using Kim.

They will have a meeting at Lost with those who have purchased shares and assess with jobs.

I was confirmed that the logo must be the prominent item on all merchandise associated with the event. 

The Nets® Board bought shares to support the Van NY hosts.  We will do our regular job of the classification and the tally of the Show and Shine to fulfill our obligation to work the event.

A big round of applause was given to Van NY for the job and the ability to adjust to the changing issues. 

Bid for the 2011 Nationals.  The bid was presented by Vans on the Run represented by Coop, Mike, and Sandy.  The event will be held at Guernsey County Fairgrounds 335 Old National Rd (Rt 40)  Old Washington, OH 43768 July 13-16, 2011.  Vans on the Run has 24 members and are looking at involving other clubs to handle certin components of the event, such as games.  Van on the Run hosted the 16th Nats® and about 30 truckin.  Bright and Shine on Friday night and Show and Shine on Satuday.              They do a Saturday night dinner at their event, so they have decided to do a Soup Line for Vanner’s night in. to go with their theme.  The theme is the Depression Era. 

Both Howard and Judith have seen the grounds.  They are large with several gates and staging areas.  There are loads of showers and toilets on the grounds, but port-a-johns will be available for those who want them.  They have the grounds from Sunday on and will start letting people in possibly on Monday.  There is an area with some electric and access to the restrooms to be used to stage. 

They will change for pre-event parking and will reduce the price for those who cannot come until Friday night.  There will be a S.LU.T. bus for transportation built by Danny and Vance. 

The budget will be forthcoming.

Golf carts with lights will be available and medical carts will be allowed. 

Late night noise?  There are only about 150 –200 residents in the area and the band will be situated so that the noise should not be a problem. 

Burnouts:  they will check in to it.

They will contact Steve Ashley’s insurance contact for a better rat than what they have been quoted locally.

There is a back up building for the bands if necessary.

A vote was taken, and all were in favor.  We made Coop leave the room during the vote.

Joe and Dave will sign the contract on Behalf of the Nats Board®.
