Minutes of the National Truckin Board meeting
February 2008
Roll Call: Judith, Howard,
Coop, Ray, Joe, Dave, Ma, Rick, Charlotte, Steve, Tim, Dimples were present as
well as Geoff and Sonya and Tim. Each rep was given a shirt with the board logo
on it. We should be wearing these when we are selling things and doing our jobs
so that people know who we are. The new roster list all the reps and alternates
as well as our support team of Geoff, Sonya, Lynn, Tom, Bev and Karen

Dave made a motion to dispense with the reading of the min.
Treasurer’s report:
Steve
Ashley asked as the 2008 Nat’s chairperson to have the logo on the t-shirts
cleared up. His question is must the logo be on all T-shirts or can the 4
different wording be used. The official event t-shirt design must contain the
National Truck-in logo (USA) prominently displayed in the colors red, white,
and blue in artwork. Any supplemental designs must contain one of the copy
write trademarks.
The
National’s Premier Van Event, The Van Nationals. The National Truck-in
Dave made the motion to amend
the contract. There was a unanimous vote to do so.
Howard made a motion that we
let this year’s Nat’s go with the new wording in the contract. This year’s
Nat’s will have 4 different designs, one is by Coop, one by Gypsy plus two
others
Howard: Chevy is trying to
kill us. There is now a HHR available with full seats interior, but panel rear
quarters. I have pictures to show you guys. I want to make sure we have an
answer when asked, but NOT bring it up unless asked. My opinion...it’s a car,
and not a panel...It is the regular HHR station wagon thing with a window
delete option...it costs 194 bucks...I also have a picture of the window
sticker! The vehicle is a car. It is only an option. It must have the HHR panel
on. It is the car with a window deleted on it
Howard: Can someone in our group record the Denimachine presentation on
DVD or memory stick, so we can burn DVD’s and have it for those who weren't
able to attend? As well as those of us who want copies. Howard did a slide show
to go along with Ron’s presentation at the C of C meeting. Joe is brought some
display items; Steve had 120 post cards made that we could have Ron Sign. Ron
Nickleson will make the presentation on Saturday afternoon and will be
available after the meeting for a question-and-answer session. He will be here
on Friday night and will be available to socialize.
Steve: Howard and Joe had me
print 120 5 x 7 pictures of the Denimachine and felt the Nat’s board would
cover my costs printing them. I have used 60 sheets of premium gloss photo
paper and the printer time. I have discounted the sheets and will only charge
the Nat’s board for the paper at $30.00 for all of them.
I think this also needs to be
addressed. Also is there anyone member that can spend so much of the Nat’s
board account without a vote? Most corporations do have this, but I haven’t
heard of us doing it.
A motion was made by Dave and
seconded by Dimples that each rep chip in $6.00 to cover the cost.
Which we did.
Steve
questioned if members had the power to spend money without asking other members
of the board. If something is for the betterment of the Nat’s or the Board, we
can spend money but it is always better to get approval from at least part of
the board.
Ray Whitley: Ray has been
working hard advertising our event and getting some handouts etc.
Ray personally had envelopes,
letterhead, and cards printed for use to mail venders asking for donations for
the Nationals. How do you know to whom to send the request for sponsors/goodie
bag items etc? Send to promotions/advertising department. Dave will get Rascals
info as to whom he sent thing to successfully.
Ray will coordinate with the host of the Nat’s to do the
advertising.
Ray
summed up his success sending out letters. Only a few replies so far but we
need to keep sending to these companies and use the same person as contact so
that they can see we constituent.
Ray brought up the weight of the
paper to be used on our Nat’s flyers. The weight of these years’ flyers put the
postage up for mailing them to venders etc.
At this time, we called Wacko and he said he was doing
fine and thanked us for our support.
We
were all supposed to have looked in our areas for Magazines that we can
advertise in. Using them instead of the national magazines. Joe and Dave and
Howard did do this. Joe has a list. Dave brought “Hot Cars” magazines. Joe compiled the list,
which we will hand out at the Saturday
meeting. There are some car trade
magazines that also list the events.
Howard brought
to our attention that several vanners gave out cell phone numbers on Vannin.com
so that people in trouble on the way to the Nat’s had someone to contact. He
thinks that we should compile a list of numbers throughout the country of
people who are willing to help vanners who may break down in their area.
Judith
suggested that once the list is compiled, we put it on our web site so that a
vanner who travels could print the latest list off the Internet. We will start
working on this and have a form for people to give us their info ready to hand
out at C of C. this is another way for Vanners helping vanners. Put it out to
the floor at the meeting. Geoff created a form for the meeting Saturday.
Coop thinks we should have input
from the people participating in the light show to make the light show score
sheet. Make a real judging sheet to be used at the Nat’s. A reminder that we
will be motor free at the light show by 2010 will be put on the web page and in
the how to book. Until then we will have an area for those who run their
engines and those who do not.
Motorized coolers. Are
dangerous especially if the person is drunk. Tim feels that The Host Group
should have control over the carts. The larger problem it is the responsibility
of the Host to publicize well in advance what is allowed and then they must
enforce the rules that were set up. If they do not do this it hurts the next
event.
Recommendation
to the host club is to make a list of what they are allowing into the event
(bikes, motorized coolers, golf carts, etc). Dave: host club should make a
statement on the flyer what is allowed. Dave made a motion that we do not micro
manage what the do’s and don’ts are that are put it in the “How to host a
Nat’s” book.
Steve said they have 184 pre-entries,
So far. There will be a shuttle bus running during the Nat’s. Barns are
available to rent. There will be an area to display your vanning memorabilia at
the Nat’s.
No golf carts. Carts will be
for medical use only. This includes the Nat’s board cart with is to be used
only when we need it for business purposes.
Past Nationals Best of Show winners. We will pay for the
plaques. $3.00 each Joe will order 50 and Coop will have engraved.
Will duplicate the vanning
around the world events listing from Florida Van Council site in the Nat’s web
page. So that there is a central location for it as the Vannin.com page has
mostly Birthday’s on it.
The Vanner
Memorial will be on display at the dance both Friday and Saturday nights. There
will be a tribute to all fallen vanners on Friday night. Kenny Michaels will be
playing from 7-9 in the ballroom.
The Memorial will
be taken back to IL by Denny and Dennis Smith and then will go back to Danny
and Sandy Thomas to be altered to a size that anyone can manage to transport.
Judith will
have forms out at the memorial so that people can add to the list and well as a
complete list of anyone in the memorial so that the info can be updated.
The next meeting will be at 6:30
Friday to take bids. Ma made a motion that we adjourn.
Friday night. We had an
update from Ohio on their Nat’s. They did really well and have pre-registered
all their members for the 2008 Nat’s!
We had a presentation from
Moon lite Vans and Performance, Inc. to host the 2009 Nationals at Summit
Station, PA.
Bid PA must things will be
the same, grocery bus, showers, etc. Trophies.
Burn out not unless they are in a safe area.

There
will be Show and Shine video during presentation of trophies.
Next Nats
Board Meeting on Tuesday afternoon before the Nat’s.
Rick: over appropriate money for the Bands.
Sound system was not compatible with band. Pre-reg to the next Nat’s to keep it
going.
Nat’s Board members did not take
flyers at last C of C and they should have. The host club then had to mail
them, so the postage is way over original projections.
Board members in the future
please pick-up flyers so that they do not have to be mailed.
Moon Dog advised
that future hosts should watch the people with trailers to make sure they have
paid for them if they pre-regged. 2006 Nat’s did not watch so many people with
trailers did not pay for them!

Howard introduced Ron
Nickleson and wife Vickie. Ron was the organizer of the Denimachine project
back in the mid 70’s. He will be a feature speaker at the open meeting on
Saturday.
Motion for meeting to be adjourned.
Several people stayed and chatted with Ron about the
Denimachine project.
