 MINUTES NATIONAL TRUCK-IN â BOARD

February 2003, St Louis

 

Lynn called the meeting to order on Friday morning and went over the treasurer’s report.

 

Those present were Joe, Howard, Lynn, Judith, Dave, Chris, Ray, Charlotte, Coop and Gary. We voted to dispense with the reading of the minutes.

We reviewed the survey that was taken at the meeting in February 2002. Of those surveyed more than 75% said they would pay $50.00 to go to the Nationalsâ. Taking this into consideration we voted to change the Nationalsâ contract as follows.

 

Item 11. The entrance fee for participants may not exceed Fifty dollars (#50.00). The fee may be a lower amount if the HOST CLUB so desires. The pre-registration fee will be maximum of Thirty-five ($35.00). Any pre-entry incentive (i.e. T-shirt) is optional to the Host Club. Any trailer may be subjected to an additional fee, not to exceed an entry fee of Thirty-Five ($35.00). This fee must be specified on the National Truck-inâ flyer.

 

Copies of the survey will be handed out at the meeting tomorrow.

 

Ad Committee update. Howard made a motion to pay cost of the ads in Cruisin Style for the 31st National Truck-inâ hosted by Hardcore Vanners in Kansas City. There will be a seminar on getting Sponsorship and ads this afternoon. Don Noone will host the event. He has done a wonderful job getting sponsorship for the 31st Nationals.

 

Coop, Howard, and Joe will get pictures, an article and judging results together and send an article to Crusin Style that hopefully will appear before the Nationals.

 

Dave gave us a very nicely written account of the challenges of Hosting the 28th Nationalsâ in New York. He also presented us with a check for $100.00 as a down payment on what was owed the Nationals Boardâ for the attendance at this event. We voted to give back the money; Dave, however, would not take it. We then voted to excuse the balance due. We feel considering all that the Northeast Van Association went through to put on a dynamite event for use under extreme adversity that this was the correct thing to do.

 

The roster was passed around and all corrections were made.

Coop brought up the subject of replacing his alternate. He said that when Dennis (RV) gave him the job it was with the understanding that if Coop ever stepped down, he would go back on the board. If Coop changes his alternate, he wanted to make sure that RV would still step back in if he stepped down.


If those board members who have not gotten the promised information to Geoff for the web site by the end of the year, we will drop the web site. No one wants to visit a site if no changes are ever made. We voted to reimburse Geoff for the expenses for the web site.

 

Fund raisers. We discussed umbrellas and they were rejected as to hard to deal with. (Storage, etc.)

We will pre sell raffle tickets. Judith will make the tickets and get them out to each member. The prizes will be truck ins of the winners choice.

(Saturday night we changed this to a Bitch booth. We will have a booth and our fellow Vanners will be given the chance to come and bitch at us for a fee. They can also pay to have someone bitched at. We will have a time limit on each bitch. Now foul language can be used. We will have the booth on vendors row overlooking the band area)

 

A recess was called so members could go on tours.

 

Friday night Lynn once again called the meeting to order and Gary gave us a rundown on the results of last year’s Nationalâ. The town of Hillsboro loved us. Having the police at the gate was a big asset to the event. If someone in the town complained they were there to report that everything was in hand. SOVC has been back to Hillsboro several times to participate in local event and donate money to local charities.

 

Update on 2003. Don Noone reported that the event would start at 10AM on Wednesday. On Tuesday night when you line up you will be able to walk onto the grounds to take advantage of the food vendors. He is still working on getting permission to use the raceway. There will be a run to the Harley factory on Thursday. The cost will be $10.00. Space is limited on this tour. You will be able to bring your Harley to the event; it must stay on the trailer and not be ridden on the grounds. There will be a Band on Wednesday night. Two bands on Thursday night. Friday will be show and shine, a stereo competition judged by a local distributor and bright –n shine.

Saturday you will be able to tour a brewery the tour is limited to 35 people.

 

Van Club Association of Michigan put in a bid to host the 32nd National Truck-inâ at the Clare County Fair Grounds in Harrison, MI. After reviewing the bid and asking numerous questions we voted to award them the contract. Either Judith or Gary will tour the grounds before the Nationals.

 

The meeting was adjourned.

 

After a heated debate at the Council of Councils meeting on the subject of allowing Motor Home into the Nationals, we left the meeting and had a meeting of our own. At the meeting we decided to have a survey at the Nationals this summer. We will sit in the area where goodie bags are distributed and make the survey available. The participants will be asked to fill the survey out on the spot and turn it in. We will compile the results and make them available on our web
