Treasurers report read and accepted

 

We recommend that the following be put on the front of future flyer that you will be donating that a portion of your proceeds will go to a local charity

 

Adding the new board members to our incorporation.  This is not necessary only 3 people need to be on the incorporation papers

 

How are we going to do the certification of judges?  Coop and Howard will have this ready by the February.  We have several people who can be certified at this time.  We will make a business card size certificate that will be laminated.  We will be certifying judges vans after the how to judge seminar in Florida on Friday afternoon

 

Have you all looked at the updated web site?  We will be adding to the history, min, etc in the next few months

 

Ticket sales?  We have sold $1650.00 in sales.  Some had trouble and some did not selling the tickets.  We may do this again at a later date with more forethought.  Joe had some James Bond CD’s made that we will offer at $15.00 each or buy 3 tickets and get one free as an incentive at the Nat’s only.  They come with a certificated.  Donnie’s took care of doing the printing etc on the CD’s.  There are 50 CD’s   we need volunteers to sell the tickets during classifications and to help with classifications in general.

 

 Fund rising:  t-shirts celebrating the 35th anniversary of the Van Nationals.  Printed by Coop and sold at c of c and orders taken for the nationals.  Coop and Judith showed off the design that Coop had made for the shirt.  It has the 1st National Truckin art on it and a 35th anniversary on it.  We will sell them at C of C and Steve will get with Coop about ordering the shirts.  We hope to make about $5. Per shirt.  We will tell Gypsies about the shirt so he can make a 1 –35 list for the back if he wants to. 

 

Joe has found that Rally will make the new dash plaques for the trophy he is making for the show and shine winners through the years.  We will buy 50 at $3.00 each.  Chooie has made a jig for the plaques to be put in so that Paul from Vans on the Run can engrave them.

Future topics or Bull shit session’s topics. Left from Feb meeting

  1. Promoting & Advertising the Nationalsâ we discussed the fact that Truck-in always says they will support us and never does.  There are a lot of local magazines that put in stories about vans if you send them in.  We will look over the next 6 mo and get the addresses so we can send in items and perhaps advertise in these magazines.  We hope several people will come forward and volunteer to take on the job of keeping these magazines informed on our events.
  2. Sponsorship on a local & National lever
  3. Fundraisers.  Ray suggested a booth at Nat’s but most felt that there were better ways to do the fund razing.  See above
  4. Local coverage of the Nat’sâ Newspaper-TV.  We need to do more local advertising of the Nat’s.  They have done a really good job this year with ads appearing in the paper and on TV.  There will be a parade to town on Wed night to a restaurant. 
  5. National exposure of the Nat’sâ TV-magazines
  6. Nat’sâ Board shirts with logo and your name.  This is a good idea.  Most forgot that Gypsy has these transfers.  We should be wearing these when we work the Nat’s
  7. Nat’sâ Board desired collectable to sell.  This did not go far
  8. Board hosting a Nat’sâ.  Ray wanted to know if we felt we were ready to host a Nat’s if the need arises.  Most felt we were.  We have several possible sites in the wings if we need them and we have enough money to print the flyers.  We would sell ads on the flyer.
  9. Building the treasury up
  10. Having major part of the July meeting the day before entering Nat’sâ at a campground or hotel.  We have done this for the February meeting and this meeting and it works much better.

Coop showed the new trophy for the Best Van First time shown at the Nat’s.  He made it and it is beautiful.  We will display it during classifications.  Every van that has never show at the Nat’s will be eligible for the trophy.  The board will look these vans over and make the choice.  

 

Steve handed out the 35th flyer.  It is really nice.  It paid for itself with the ads on the back page.  A good example for future events.  The flyer was printed in St. Pete. FL at a reasonable price. 

 

We have had no input from last years Host as to how things have gone for them.  They have been contacted many times with no response.

 

There has been mention in the NOVC newsletter that they feel we are going to give them $500.  They never asked us for the money and we did not say we were going to give them any.  Joe feels that they got this from him as when they were doing the flyers he indicated we would help out with costs if they needed it.  We all feel it is redundant to give out money if it is not needed.  We already sponsor the best of show trophy and have two paid full-page ads in the bible.  We will get Donnie and RV together and Dave will explain that if they need help we will help them.  Dave will be the spokes person. We feel it is not productive to give a host $500.  When they are to pay us the buck a truck.  Its like we are giving them the money to pay us the buck a truck.   In the past we have helped sponsor advertising and in the case of VA we helped them pay for the extra expense on the flyers since the new style flyer was not in the contract and they had already set a budget for flyers.  We once sponsored a band at a truckin because we wanted to give back to the vanners but we feel that there are better ways to do this.  We need to spend the money to advertise the Nat’s and vanning in general. 

 

Apparently according to the NOVC newsletter someone said that we told him or her we were all too old to get into the dunking booth they are setting up.  No one attending the meeting had been approached to do the booth so we will look into what is going on.  Several said they would do the booth.

 

Classifications are at 10 am on Thursday.  Help is needed to do the classifications please stop by to help our.  We will give out permanent class cards this year so we will require more help.  Once a van is classified they just bring the card to registration if no body modifications have been made to the van. 

 

Howard brought to our attention that several vanners gave out cell phone numbers on Vannin.com so that people in trouble on the way to the Nat’s had someone to contact.  He thinks that we should compile a list of numbers through out the country of people who are willing to help vanners who may break down in their area.  Judith suggested that once the list is compiled we put it on our web site so that a vanner who travels could print the latest list off the Internet.  We will start working on this and have a form for people to give us their info ready to hand out at C of C.

 

 There is a meeting at 10 am on Saturday to great and answer questions from the general public.  We will have out card so that the vanners can write down questions for us and we will answer them.  This will last about 1 hr.  We will have a time limit on the q and a as necessary. 

 

At 5 on Saturday we will attend a meeting with next years hosts for a q and a session.

The first 136 vans to pre-reg will be eligible to participate in a picture at the 36th Nat’s spelling out Keep on Truckin. 

 

Coop feels that we should have the show on Saturday.  We should be able to get it done on time if we start at 8 am and have no one be able to come in after a given time.  He sited several cases of people not being able to get to the event on Friday for a show and therefore not coming at all.  If the show is done on Friday most people cannot come to see it so we defeat that purpose also.  If the show cannot be held on Saturday then something should be done so that the public will get the see us.  Such as a caravan, mall show, etc.

 

Dave said that Van in Magazine is having problems and somehow some of our names have gotten involved and to expect some questions about it this week.  Seems as if the person who wrote it did not have enough money to print it and asked someone else to help with the financing of the printing and that person has taken over.   Some how Wacko’s name and Joe’s have gotten mixed up in the mess.
